Welcome to Make Space Studios. The goal of the studios is to maintain and develop a creative community. An environment that people want to be in, they enjoy coming to and allows them to be creative and inspired.

Make Space Studios has over 60 studios with at least 85 artists, artisans and creative businesses making up the creative community. With so many people coming and going it is important that everyone receive the same information about the site and its general workings. As a result this document has been developed to act as both an information booklet and to provide a set of ‘house rules’.

Every user has a different schedule, practice and use of the space. As such, in order to keep the studios a positive environment for everyone it is important we respect that and set a standard of behaviour and operation whilst on site. Some of these rules are for your own safety, some are for the benefit of everyone here and some are simply essential to keep the site running smoothly and efficiently.

Moving Into Your New Studio

Moving into an art studio is a very exciting time, filled with potential and possibilities. Moving anywhere is always a moderately traumatic experience.

In the case of moving into Make Space the biggest hurdle is the stairs. There are a lot of them and there is no alternative.

You may need more people to help, and you will need to know the maximum size of object that you can get up the stairs. The gate is 198cm x 102cm.

There are two access gates onto the property. The main stairs are open Monday to Friday 10am – 6pm but accessable by code after this time. There are only loading zones at the bottom of the stairs so be sure that you are visibly loading at all relevant times.

It may be easier to use the rear stairs, the access to which is located next to 1st For Storage, 213 Carlisle Lane SE1 7LH. The large blue gate is for 1st for Storage, to the left of it is a small grey gate which is our access.

IMPORTANT: All gates for the rear access point must be kept closed and latched at all times.

You can pay for parking on the street at approximately £4 an hour. Alternatively, you can ask at 1st for Storage if they have a space available for the day or there is a carpark on Upper Marsh. Both of these options cost approximately £10 a day.

When you arrive your studio should be empty, clean, have unmarked walls with no holes in them and a door that is in a usable condition. If it isn’t, please photograph it while it is still empty and forward these images to management.

Within one week of you moving in to your space you will need to return the Fire Risk Assessment forms to Make Space Studios and provide the information for your inclusion on the website. This includes three images, a paragraph about your work (written in third person) and any additional information that you would like to be included in your profile on the website.

Your Studio

Make Space Studios wants you to feel welcome, happy and most importantly – creatively inspired, in your studio. As such you are free to decorate it how you please and make any adaptations (within reason and with managerial approval) necessary to ensure it works for you as a creative space. However there are some important rules to follow with regard to this space.

  1. Open doors. Understandably you will not always be able to have your door open while you are working however, when possible it creates
    a more open, positive and accessible environment if you do. Open your door – you never know who you might meet.
  2. A kettle, toaster, microwave and fridges are provided in the communal spaces for your convenience. You are not to have a kettle, toaster, fridge or microwave in your studio unless given written approval by management. Such written approval will incur a monthly fee the schedule for which you will find later in this booklet under ‘Electrical Items in Your Studio’. All other electrical items should either be new, or you will need to have these PAT tested to confirm that they are in good working order. If you plug in items that cause the power to trip you will be disrupting your neighbours who may be doing computer work or using items such as a kiln. It is your responsibility to make sure that you do not allow this to happen.
  3. You should minimise fire hazards and potential rodent infestation by keeping your room tidy, regularly disposing of rubbish and having items appropriate to the safety of the task. If you are using anything that might constitute are hazard then you should purchase the appropriate fire extinguisher and have it regularly checked.
  4. Make Space do not insure the contents of your studio. You are strongly advised to get your own contents insurance. If you do this you will need to have window locks and a 5-lever arch door lock installed. Please consult with management before arranging this.
  5. This is not a live/work studio. You are not to sleep in your studio.
  6. Rubbish bins are provided for the disposal of general waste. Please read the ‘Rubbish’ section later in this booklet for more information. If you bring items that aren’t considered general waste they remain your responsibilty. You will need to take them away to dispose of them if no longer required.
  7. In the past Make Space Studios has tried to have tools, hoovers and cleaning items available for your usage, however, unfortunately due to breakages, or failure to return items Make Space is no longer able to offer this.
  8. Your door and the hall outside your studio are yours to adorn as you will. Please ensure that any branding is either temporary or removable.
  9. If you are doing any noisy, smelly or otherwise disruptive work please contact management. There may be options available that will minimise the impact on other users.

Heating

During winter it is understandable that you will want to heat your space. However this causes a massive amount of pressure on the electrics and can constitute a fire hazard.As such only one type of heater is acceptable at Make Space Studios. This is an electric oil filled radiator.  Only one heater is allowed per studio.If you are seen to have a different type of heater then you will be asked to remove it. Failure to do so will result in it being removed and discarded of.It is extremely important that you are vigilant about turning the heater off. Heating a space that you are not in is both a waste of electricity and a fire hazard.

Electrical Items in Your Studio

As discussed above it is important that you do no use non-essential electrical items in your studio. These are provided in the common room for your convenience.If you do wish to have these items in your studio, the schedule for fees is below. Management must be notified of these items and arrangements made for the additional monthly charges.

It is also very important that you keep your items in good electrical repair and have them regularly PAT tested.

Wifi

There is a wifi network throughout the space

Do not stream on this network. If you rely on the internet for your business you must still get a line installed. The wifi is used by many people and an over-reliance on it will slow it down for everyone.

Open Studios

Make Space Studios hosts an open studios event once or twice a year. This is an artists lead event which provides an exciting opportunity for you to engage with our creative community, gain exposure and/or sell your work.
Everyone works very hard to ensure that this is an interesting fun event that appeals to as broad an audience as possible. In the past this has been achieved via group and solo exhibitions, musical performances, film and video screenings and performance art.
Additionally, each year we try to arrange a café for coffee, tea and baked goods. We have had increasing numbers through the doors on each occasion and expect this trend to continue. We are excellently located to maximise traffic through easy access and exposure.
It is mandatory that everyone in the studios participates in at least one of these events each year. Participation involves assisting in the lead up to organise the event – this may require you to do internet marketing, arranging invigilators, ensuring the site and your studio look as good and as appealing as possible, running workshops or screenings – basically contributing in any way that you can to enrich the event and broaden its appeal.
Additionally it will require you to provide three high-resolution images, a paragraph about your work/self and a nominal financial contribution towards the cost of printing and marketing, staffing, excess rubbish collection, supplies etc.For the duration of the event it is crucial that you arrive on time and have your door open. It is very disappointing for visitors and the other exhibitors if doors aren’t open.

Website

The Make Space Studios website has two sections for the benefit of its residents. The ‘Artists’ pages where you will have a page with links to your site and socials along with images and bio. Submit details here.

Additionally, we have a section for upcoming events, exhibitions and news. If you have anything that you would like to be advertised here, please complete this form and it will be added as soon as possible. Make Space Studios would greatly appreciate it if you would include a link to its website on yours. Please link to www.makespacestudios.com.

Marketing Material

Please use this form to submit your images and bio.

Images – Please provide three or more images to represent you on the website. Images on the web have a max size of 2mb each, but many can be uploaded. You can also upload images for print purposes (label them accordingly). They will need to have a CMYK colour profile and be 300dpi 10cmx10cm min.

Paragraph – Please a bio of 100 words or more in third person. This will be added to the website and potentially used in marketing open studios.

Fire Safety

There are fire extinguishers placed near the exits in the kitchens and along the corridorsEach fire extinguisher point has two types of extinguisher:
Foam – safe for wood, paper and textiles or flammable liquid. Not safe for live electrical equipment or metal fires.
Carbon Dioxide – safe for flammable liquids and live electrical equipment. Not safe for wood, paper or textiles, or metal fires.Please familiarise yourself with the locations of these extinguishers in the case of an emergency.
Please familiarise yourself with the fire escape map. Each studio should have one and you have been provided with this file in your welcome email. If you do not have a fire escape map in your studio please request one from management.fireescape.pdf

Within one week of moving in you will need to complete a fire risk assessment form – linked here. The FRA requires you to assess and detail the potential rehazards in your studio and to clarify how you mitigate these risks. If you require assistance with this, please do not hesitate to contact management. We are happy to help/explain. Once a year you will need to resubmit this form.

Outdoor/Common Area Space Usage

You are welcome and invited to use the common space as and when you like it under two provisos.
1. Your studio is your primary area of creation and

2. You clean up after your self. Everyone has to use this space and if you benefit from its use it is only fair that you clean it up for the next person. No items are to be left laying around.

3. No unwanted or broken furniture or other bulky items are to be left in the communal spaces or outside. This will be considered fly tipping and you will be fined.

Maintenance

If you have any problems in or with your studio or if you notice anything out of order in the communal spaces or toilets then please complete this form.

Don’t assume that management know about an issue – as you are the user, you are the most likely to discover any issues.

This issue will be attended to as soon as possible. Make Space will try to ensure that you are present if your studio needs to be access, however it may be that the repairs will need to be done when you are not available. Only Make Space staff have access to your studio.

Security

For everyone here security is a concern. People have a lot of items in their studio that are either of a high value, or simply very important to them. As such it is important that everyone is security conscious and contributes to the safety of the site. At all times:

  1. Never give out the code to anyone unless you have completed and submitted an authorisation form
  2. When leaving ensure that your window is closed and locked.
  3. When leaving ensure that your door, the front door and any gates are closed and locked.
  4. If it is not during general opening hours (Monday-Friday 10am – 6pm) and you see a window or door in the common areas that is open – shut it. This is not dependent upon whether you opened it or not. This includes bathroom windows, hallway windows and all external doors.
  5. If you do open any communal doors or windows it is YOUR responsibility to close it again.
  6. Keep the rear access gates locked
  7. Ensure that your visitors keep the rear access locked

Network Rail engineers and other staff regularly access the tracks via Make Space Studios. They are recognisable by the bright orange safety gear they wear or other Network Rail uniforms. If you see someone on the site who is neither Network Rail or a member of the studios please contact Rebecca immediately on 07780112226. Obviously, you can’t know everyone who has a studio here, but if you see something out of the ordinary or someone acting in a suspicious manner then call the above number or contact 999 in the case of an emergency. If you are ever concerned for your safety or the safety of others contact 999 immediately

Rubbish

Make Space Studios provide a general waste bin.  It is currently situated at the bottom of the main stairs and is emptied Monday and Thursday. This bin is NOT for unwanted items of furniture or broken large items. You need to remove all broken furniture etc from site. If you are found to be filling the bin with items other than general refuse it will be considered fly tipping and you will be charged accordingly. It is unfair to take all the space up with large, bulky times. It is for bags of rubbish only. All rubbish from your studio needs to be taken to the general waste bin regularly.

If you see the bin is full and the lid is not sitting fully closed, please email management. If you can’t put your rubbish in the bin you need to take it back to your studio and try again another day. DO NOT LEAVE RUBBISH ON OR NEXT TO THE BIN.

Recycling

There is an orange bin at the bottom of the stairs which is for recycling. The recycling bin is only for clean and dry CARDBOARD, PAPER, PLASTIC AND CANS. No glass. No items that are ‘reusable’. Please fold down your boxes before putting them in the bin to ensure there is space for everyone.

Litter

Do not litter. There is no need. Either place your rubbish in the bins provided or take it back to your studio. This includes cigarette butts. There are large litter bins distributed throughout the property for your convenience. These bins are for incidental waste only – rubbish from your studio is to be taken down to the large bin at the bottom of the stairs. Please make sure that you have tipped all liquid out of all containers before putting them in any of the bins. Noone wants the halls to stink of off milk or to have it leak onto them! If you see these bins full then you have two options.
1. You can remove the full bag and take it down to the large bin and then replace it with the bag provided in the bottom of the bin (this is the most labour intensive, but also the most considerate option). Or

2. You can notify management.

There is no third option. Do not fill the bin to over owing or put your rubbish next to or on top of the bin. This is your rubbish and it is appropriate that you should take responsibility for it.

The Kitchen

You are welcome to keep coffee, tea and crockery in the kitchen. A kettle, toaster, microwave and fridges are provided for your convenience. If you wish to keep items in the fridge be sure to label them and discard all unwanted and out of date items.

If you use a dish – clean it, dry it, put it away. If you use someone else’s dish – return it to the place and state in which you found it. Do not use other peoples milk unless you have asked them. If you are in the kitchen and its looking a bit scruffy – clean it up. This spaces is for everyones convenience and is therefore everyones responsibility.

Access Codes

The code for the doors provide you with 24 hour access to your studio. You are not to give this code out to anyone. Ever. This provides a major security risk for all users of the studios. If you would like another person to have access to your studio you will need to have them complete the Authorisation form and return it to management either with photographic ID or a photocopy/scan of photographic ID BEFORE you grant them access.

The codes will change periodically and you will be notified via email several days in advance.

However as this is an art studio, not a serviced office, it is imperative that you are here on the delivery day. This is to collect and sign for your items and if required bring them up the stairs. No responsibility is taken by Make Space Studio to accept delivery of your items.

For general post you will need to supply management with a business card to be attached to a pigeon hole. It is advised that you check your pigeon hole regularly. If you only receive post very occasionally, it might be that you share a pigeon hole with someone else in a similar situation

The Train Tracks

Do not allow litter onto the tracks and be careful to ensure that nothing can be blown onto the tracks.

This is very important. If we ever effect the trains travelling to and from Waterloo we will be immediately evicted. Nobody can afford the fines.

Sinks Room

In between the mens and womens toilets in the long is situated a sinks room. It provides you with a space to clean your brushes without having to worry about food hygiene etc. However, you need to be careful not to cause blockages or to dispose of dangerous chemicals in here.

When it comes to cleaning your brushes and using turpentine, allow the paint sediment to settle to the bottom, drain off the turps for reuse and dispose of the left over sludge in a plastic bag in the bin. It should not need to go down the sink. Allow the water to run a little after you have finished rinsing your brushes. If you make a mess in here then you should clean it up for the next person.

It is not appropriate to wash up any brushes or creative mess in the bathrooms or kitchens.

Do not leave your unwanted paint or any other items in this space. A lot of people use this space and it is important that it is kept empty and freely accessible.
